ATS-Friendly Resume Format — What Applicant Tracking Systems Want

What is an ATS (Applicant Tracking System)?

An ATS is software that companies use to manage job applications. It automatically scans, parses, and ranks resumes based on keywords and formatting. If your resume doesn't parse correctly, it's rejected before a recruiter ever sees it.

Most fortune 500 companies, mid-market firms, and many startups use ATS systems. Your resume needs to pass ATS screening before it reaches human eyes.

ATS-Friendly Format: The Do's

• ✓ Use standard fonts: Arial, Calibri, Helvetica, or Times New Roman (12pt). ATS systems recognize these fonts best.
• ✓ Single-column layout: No multi-column designs, sidebars, or boxes. ATS reads left to right, top to bottom.
• ✓ Standard section headings: Use "Experience," "Education," "Skills," "Summary." Don't invent custom names.
• ✓ Bullet points: Use a dash (-) or asterisk (*) for lists. ATS parses bullets reliably.
• ✓ Standard date format: Month Year (June 2023) or MM/YY (06/23), not "June '23" or "6.2023"
• ✓ Keywords from job description: Mirror language from the job posting. ATS matches keywords to rank you.
• ✓ Save as .pdf or .docx: Both parse well. Avoid .doc, .pages, .jpg, or image PDFs.
• ✓ 0.5–1 inch margins: Standard spacing. Too-narrow margins break parsing; too-wide wastes space.
• ✓ Plain text formatting: Use bold and italics sparingly. No fancy unicode characters or symbols (except - or *).

ATS-Unfriendly Format: The Don'ts

• ✗ No images or graphics: ATS can't read images. No logos, charts, icons, or infographic layouts.
• ✗ No tables or text boxes: Tables confuse ATS parsing. It reads cells out of order.
• ✗ No headers or footers: If critical info (name, contact) is in header/footer, ATS may miss it.
• ✗ No color: Colored text, colored backgrounds, or colored section dividers may not parse. Stick to black text on white.
• ✗ No unusual fonts: Decorative fonts, handwriting fonts, or geometric fonts break parsing. Stick to standard fonts.
• ✗ No fancy symbols: Avoid ●, ◆, ★, or other Unicode symbols. Use - or *.
• ✗ No multi-column layouts: Two or three columns look nice but confuse ATS reading order.
• ✗ No PDF-as-image: Some PDF generators render text as an image. ATS can't read those.
• ✗ No abbreviated date formats: "6/23" might parse as 6023 (year 6023?). Use full month/year.

Keyword Optimization for ATS

ATS systems scan for keywords from the job description. If the posting mentions "project management," say "project management" on your resume. Don't use synonyms or abbreviations ATS won't recognize.

Job posting says: "Experience with React and Node.js required"
Your resume should say: "React, Node.js" (not just "JavaScript")
